There is a lot to think about when it comes to badging your delegates. Here are some hints and tips to help you along the way;

How are you badging your delegates? We provide the option for printed BIO PVC cards or paper insert badges for your delegates. We will create your card design layout, print your badges and send them to you in time for your event. Or if you would prefer to manage the badge production yourself, we can provide you with the software, equipment and know how to do this. And if you already have our software in place, don’t forget to check your badge stock to make sure you have enough to cover your delegates.

How are you displaying your badges? Often people don’t always think about how delegates wish to wear their badges.  Some prefer a lanyard, others a strap clip or yo-yo. However they are to be worn, we can offer various types of card holder accessories from a vast range of products we hold in stock.

How to distribute your badges? You may have already seen our past blogs on the Card Caddie – we are always raving about how good it is – but really it is! This simple solution will solve the issue of storage, transport, display and distribution of your delegate badges. Take a look at the Caddie in action in its own movie.

Badges left over? If you want to see who did or didn’t turn up to collect their badge, you can obviously work this out from the number of badges left over, however if you are printing your badges on site for any late arrivals then you can simply produce a report on delegate attendance. With our Badge & Track software you can design  and produce barcode badges that can be scanned when the delegate arrives with their badge or before they are handed out on site, then at the end of your event you simply produce a ‘no show’ report. The importance of being branded

In the Conference & Events industry it’s not easy to remember every tiny little detail for your event. Sometimes there can be things that are forgotten.

Let’s say for example, you’re on a train on-route to your venue to prepare for an event. You’re going through a mental list in your head of the things you must remember;

and all the while hoping that  your delegates turn up and the event runs smoothly. You hurry off the train, arrive at the venue to set up when you realise that you have left the Conference Card Caddie with all the delegates badges on the train!

So what now? The chances of re-printing the badges, getting them stored safely in another Caddie and sent to your venue in time is very slim, however because the Caddie is branded with your company logo, when the ticket officer realises that an object has been left behind, they may not call in an emergency to the Transport Police to have the item removed and destroyed. Instead they are more likely to contact your office to notify someone that the Caddie can be collected and delivered to your venue – hooray the event is saved! (Yes this really has happened)!

But what if the Caddie didn’t have your company logo printed on? Probably you won’t forget it in the first place, but we all make little mistakes. So unless you want to be known in your office as the person who lost the caddie and got it blown up – perhaps it would be a good idea to consider having your company logo screen printed on the case.

But seriously ………………….

What price loyalty?

Confex Show 2012IDentilam will be exhibiting at Confex next week, as we do every year, loyal as ever! It will be interesting to see what effect the move to Excel has on visitor numbers and also how successful the new Loyalty Programme will be.

This is Confex’s answer to the Hosted Buyers schemes run at other exhibitions such as IMEX and EIBTM. As an exhibitor these schemes are  attractive on the surface as it’s great to know there are 20-30 people due to visit your stand even if no one else turns up!

Usually we head off to the exhibition full of enthusiasm and with a diary full of appointments only to find that half of the visitors don’t arrive or if they do, come at a different time or day than had been agreed. Often, even those who do turn up are there only to meet the obligations of the Hosted Buyer scheme and don’t have a genuine or immediate requirement for our products.

All visitors to our stand are of course welcome and sometimes after discussion it can become apparent they are perhaps a worthwhile contact after all, however it can be frustrating and difficult to judge the required staff levels for the stand.

So far our Confex diary is far from full, however if all of the appointments we do have turn up and have a genuine requirement for our products, we will be happy exhibitors!

At IDentilam we are very conscious that we have a corporate responsibility to find ways of reducing our carbon footprint. How we achieve this varies from providing recyclable and re-usable wallets to recycled material lanyards, but now also include the supply of our new Bio PVC cards!

Goodbye to the old un-eco-friendly PVC card and welcome to our new Bio-degradable PVC cards which are available from our standard stock items. To add to this good news we are pleased to say that they won’t cost you any extra and offer the same IDentilam high quality of badge production.

So what’s the difference? Unlike the standard PVC cards, these environmentally friendly cards are made from PVC resin which is treated to make them completely biodegradable. Under normal conditions they perform exactly like our standard cards but when introduced into a fertile environment the break down process starts, completing in 1-5 years.

They look and feel the same as the old PVC cards, so to ensure that our customers know they are using the new BIO PVC cards, we have simply added a printed logo to the back of the cards. This has proven to be a benefit particularly to our event customers as delegates like to know that every effort is being made to make the event greener.

The Event Production Show – A Quiet Affair?

Earlier this week the Ocean Media Group announced a 9% increase in visitor numbers to the recent Event Production Show at Olympia. Whether or not these additional visitors headed straight to the warmth of the central bar is unknown, however the general feeling amongst the exhibitors around us was that the show was much quieter than in previous years.

Having said that, we did have a number of high quality visitors to our stand and once again we saw some genuine requirements for our badging.

Efficient Event Badge Distribution… part 2

More helpful hints on conference and event badging...

How are you spelling that?  Registration staff may say to a delegate: “There doesn’t seem to be a card here for you”, but what the delegate hears is: “Our organisation is totally inept and we lost your application and don’t have a badge ready and waiting for you”.   Your event is not off to a good start for this particular delegate.

Usually however there IS a card ready and waiting for collection, it is just that the Registration staff could be looking in the wrong place.  This is often an easy mistake to make, and is due to how the data is entered into the delegate database.  For instance, it would be natural to expect to find Mr Van Schmidt’s card with all the other surnames starting with S, however, his surname would likely have been entered into the database as ‘Van Schmidt’, and if the cards were batch – printed by surname, then his card would actually be under V.   So it does pay to spend a few moments double-checking before re-printing cards – costly in terms of materials, time and your reputation!

Check the lighting for live photos. If photos are required on your badges, then give some thought to the lighting conditions that will be available at late registration for live image capture.  Natural light shining directly onto the subject is best, failing that, ensure that you have adequate artificial lighting.  Remember that the light conditions will change throughout the day.

It is traumatic enough as it is for delegates to have their photo taken in public (yes, some have even cried!)  without then having to walk around with a badge which makes them look like an extra from the Blair Witch Project!

Efficient Event Badge Distribution… part 1

A smooth and efficient event accreditation service will set the right tone for your whole event; here are some of our top tips:

Conference Card Caddie

Right tools for the job.  You will likely have pre-printed the majority of your delegate cards before you arrive at your event’s venue; therefore you need to have a simple and effective way of transporting and displaying the cards ready for collection.  IDentilam’s Conference Card Caddie does the job expertly.  Badges can be sorted alphabetically into the trays and then loaded into the case.  They stay put during transportation and on arrival you just open the case and take out the trays containing the badges, with no need for any last minute sorting – they even have alphabetical dividers.

Keep it simple.  For large events where you may have lots of different card styles, keep it simple and sort your cards alphabetically by surname – regardless of their category.  This method means that there is only one place to look, rather than in the tray for Staff, or the tray for Delegates or the tray for Exhibitors, or the tray for security personnel……you get the gist.  It does also mean that if someone needs two different cards types for the event, they will both be there together in one place waiting for collection.

We did hear from one client who had organised an event at a very upmarket venue, but overlooked how the delegate badges were going to be displayed ready for collection.  In the end, out of desperation, wicker hand-towel baskets from the ladies loos were used – not ideal!
